Dear Sir or Madam,

I took a flight from Kuala Lumpur to Melbourne on 16th March on the Royal Dutch Airlines and lost my suitcase. I am writing to get an update regarding this and hoping you would help me locate the lost luggage.

My flight number was MH 1685 and the seat number was 12B. The plane departed the Kuala Lumpur International Airport at 9.30 pm and after I arrived at Melbourne Airport, I noticed that my suitcase was lost. I could not recover it after searching for more than two hours. Although I have explained this to Mr Johnson, who was in charge of the luggage claim office and promised to give me a call within the next 24 hours, I am yet to receive an update. My luggage claim number is 00269 and I am attaching a copy of it.

The suitcase that I lost is a dark brown leather suitcase with a black handle. It contains some clothes, souvenirs for friends, a couple of magazines, a novel and a business proposal which I need for a presentation I am going to conduct on 30th March.



I would really appreciate if you could look into the matter and update me on the whereabouts of the suitcase. I really need this urgently and can pick it up from your office once you confirm its possession.

In reality, I really sorry to hear that you lost your luggage while you were travelling on our flight.

I am very shocked when receiving your letter because the incident like this has never happened to our airline company yet. Immediately, I contacted Mr Johnson and finally I found out the reason of your suitcase's loss. One of our new staffs who lacks of experience made a mistake while trasporting the customers' luggage after the plane had landed. As a result, your suicase was unexpectedly on one another flight to another city. However, you do not need to worry because we timely returned it to Melbourne. We sincerely apologise to you for this trouble.

As expected, your suitcase will be arriving at Melbourne Airport at 6 p.m this evening. According to our inspection, it is still full of your clothes, souvenirs, a couple of magazines, a novel and a business proposal. Therefore, you can come to the office at Melbourne Airport and meet our luggage counter staff to pick it up. Please bring with you your passport, air ticket receipt and the copy of your luggage claim number so that we can verify your identity. Finally, we would like to give you a 10% discount of your next air ticket at our airline company as a compensation for this inconvenience.

Once again, we extremely apologise for this unfortunate incident. Hope that your presentation on 30th March will be successful. Besides, I also do hope you will continue using our services in the future. We always try our bests to satisfy our customers' demands in the best ways.

To be honest, I deeply apologize for the inconvenience you have been suffered. In fact, Johnson who is in charge of the luggage claim department is a new staff and being in probationary period. He had just worked at here for 4 days. Therefore, he did not acquire all manner of our professional. He did not fulfill his responsibility when he forgot to call you back. I will remind him about this issue.

Regarding your suitcase, I asked the flight attendants to check the flight MH1685 from Kuala Lumpur to Melbourne on which you lost your suitcase and contacted several other passengers that also traveled with you on it. While they were checking all chairs and all cabins on the plane very carefully, suddenly, I just received a call from my staff. He said that there is a woman at my office, she wants to change her luggage which she mistook when leaving the airport. She said that because she had the same suitcase as yours, when she stood next to you at the check in at Royal Dutch Airlines, due to being so hurried, she took your luggage by mistake. She asked me to give you her apologies.

To solve the problem early for you before March 30th, I need to carry out some procedures in order to handover the suitcase to you. You need to bring your suitcase ticket code corresponding to the flight ticket code so that we can check and compare it, then we will send the suitcase to you. Please contact Ms. William Linda at room 102 at 2:00 pm on March 25th to help and solve this problem.

Once again, I would like to apologize for this problem. I promise you will never have this mistake again, and I hope that you will keep flying with our company.

First of all, I am very sorry that you had lost your suitcase.

I am Han Dinh Dao, the manager of the airline company. l am writing this letter to respond to your problem occurring in your flight from Kuala Lumpur to Melbourne on March 16th.

After carefully making inquiries about your issue, we deployed forces to make a thorough search for the missing suitcase. However, to deal with the problem more easily, we need some information about the time when you realized your suitcase had lost and the particular places where you were on that day.

As far as you mentioned in your letter, you explained this problem to Mr. Johnson but he did not give you a call even though he promised. After checking the incident with him, I found that his lateness in giving you phone call is due to his recklessness which had not reported this problem to me in time. Therefore, I criticized him for lacking responsibilities and reminded him of his duties.

To correct our fault, we are going to find out your suitcase right tomorrow. We promise to report this problem to you no later than the day after tomorrow. In return, we will give you a discount of 50 percent for your coming flight.

Once again, we would like to apologize for this incident and hope that you will feel free to contact me if there is any problem happening.
